After we finish a Word document, we may have to pay attention to the statistics of the document, such as the number of words, paragraphs, sentences, etc. So today, we focus on introducing the tips to count the number of paragraphs.

Method 1: Use “Find and Replace” Function

Firstly, make sure that you have saved your file.

Then, click “Home” tab.

Next, click the “Show/Hide Marks” icon in “Paragraph” group. So you can see all the paragraph marks and other formatting symbols.

Next, press “Ctrl+ H” to open the “Find and Replace” dialog box.

Be sure that you are under “Replace” tab first. Then enter “^p” in “Find what” text box.

Lastly, click “Replace All”. Now you will see a message box pop up, indicating 4 replacements have been made. The number of replacements means how many paragraphs you have in the document.

By the way, you should know that after the replacement, your document formatting will be changed. That’s why we suggest you should save your file first and probably make a backup even.

At the beginning, repeat first 6 steps aforementioned.

Then click “More” button to expand options in “Find and Replace” dialog box.

Next, click “Format” button on the left-down corner.

And choose “Style” on the list menu.

Now in “Find Style” dialog box, you choose a style in “Find what style” list boxes. For example, here we choose “Heading 2”.

If you want to quickly count the number of paragraphs in a document, here is a great way to do it:

Make sure you save your document.

Press Ctrl+Home to go to the beginning of your document.

Press Ctrl+H. Word displays the Replace tab of the Find and Replace dialog box. (See Figure 1.)

In the Find What box, enter ^p.

In the Replace With box, enter ^p.

Click on Replace All.

Word replaces all the paragraph marks in the document with identical paragraph marks, and displays a dialog box indicating how many replacements were made. The number of replacements is the number of paragraphs.

You may not be that impressed with this method, since you can also find out the number of paragraphs in a document by displaying the Statistics tab of the Properties dialog box. However, the real power comes in when you want to find out how many paragraphs you have of a certain style. All you need to do is expand your search a bit.

For instance, let's say you have a certain paragraph style that you use only for figures. To find out how many figures are in your document, follow these steps:

Make sure you save your document.

Press Ctrl+Home to go to the beginning of your document.

Press Ctrl+H. Word displays the Replace tab of the Find and Replace dialog box.

Click on the More button, if it is available. (See Figure 2.)

In the Find What box, enter ^p.

Click on Format and choose Style. Word displays the Find Style dialog box.

Choose the name of the style you used for your figures.

In the Replace With box, enter ^p.

Click on Replace All.

That's it! The resulting dialog box indicates the number of replacements made, which are only for those paragraphs that use the figure style—in other words, you now know the number of figures in your document.
