Which of the following tactics is an effective method for improving intercultural communication?

Intercultural communication principles guide the process of exchanging meaningful and unambiguous information across cultural boundaries, in a way that preserves mutual respect and minimises antagonism. For these purposes, culture is a shared system of symbols, beliefs, attitudes, values, expectations, and norms of behaviour. It refers to coherent groups of people whether resident wholly or partly within state territories, or existing without residence in any particular territory. Hence, these principles may have equal relevance when a tourist seeks help, where two well-established independent corporations attempt to merge their operations, and where politicians attempt to negotiate world peace. Two factors have raised the importance of this topic:

  • improvements in communication and transportation technology have made it possible for previously stable cultures to meet in unstructured situations, e.g. the internet opens lines of communication without mediation, while budget airlines transplant ordinary citizens into unfamilar milieux. Experience proves that merely crossing cultural boundaries can be considered theatening, while positive attempts to interact may provoke defensive responses. Misunderstanding may be compounded by either an exaggerated sensitivity to possible slights, or an exaggerated and over-protective fear of giving offence;
  • some groups believe that the phenomenon of globalisation has reduced cultural diversity and so reduced the opportunity for misunderstandings, but characterising people as a homogeneous market is simplistic. One product or brand only appeals to the material aspirations of one self-selecting group of buyers, and its sales performance will not affect the vast multiplicity of factors that may separate the cultures.

Research methods for communication and culture

The Semiotics of Communication analyses the verbal and non-verbal codes used to transfer information between people. Should these people have different cultural backgrounds, they may interpret verbal and non-verbal signals differently. Empirical methods for researching such differences propose that culture is learned by listening to, and observing the behaviour of, other members within the group. Direct and indirect interactions ensure that culture is passed from person to person and from generation to generation. The research methods are predominantly objective and quantitative, observing behaviour without considering the reasons behind it, and cataloguing the types of behavior identified as common within each culture. Data collection by observation is the primary method because intervention by the observer to ask for an explanation of the behaviour may produce unreliable subjective data and skew future behaviour when individuals are aware that they are being observed. But if researchers hypothesise that culture is coherent within the group because they share basic values (the assumption is that people think before they do), they must try to identify these basic values by inference or induction. A soft systems approach would explore multi-causal explanations of behaviour. Complexity would be assumed given age, gender, ethnicity, religion, class, personality, reaction to authority, the setting, the other party's behavior, and the presence or absence of an audience. This approach allows for more nuanced explanations but it may produce detailed explanations that are more difficult to use as a predictive tool.

What can go wrong?

People from different cultures encode and decode messages differently, increasing the chances of misunderstanding, so the safety-first consequence of recognising cultural differences should be to assume that everyone’s thoughts and actions are not just like ours. The main types of misunderstanding are:

Language

Even when two people think they can speak each other's language, the chance of error is high. Usages and contextual inferences may be completely different between cultures. So even though one speaker may have learned the vocabulary of the other's language, selecting the most appropriate words, with the correct intonation, spoken with appropriate eye contact while standing a proper distance from the other are all critical even before one considers the propriety of the topic to be discussed.

Rights, values, and needs

Some cultural characteristics will be easy to identify, e.g. whether people are conscious of status or make displays of material wealth. But many rights are assumed, values are implied, and needs are unspoken, (e.g. for safety, security, love, a sense of belonging to a group, self-esteem, and the ability to attain one's goals).

For example, issues of personal security, dignity, and control will be very different as between an abled and a disabled person. Similarly, there may be problems of respect when a person from a rigidly class-based culture meets a meritocrat, or where there is racism, sexism or religious intolerance in play. In such situations, identity is fundamental when disputing the proper role or "place" of the other, about who is in control of their lives, and how they present themselves to the outside world. But the reality is more deeply rooted in power relationships: about who is on top of the social, economic, and/or political hierarchy. Family members or long term rivals may be obsessed with their mutual competition. The relationships between racial or ethnic groups may be affected by economic jealousy. Nations may assert that their political systems are superior. Such conflicts are difficult to resolve because no-one wants to be the loser, and few are willing to share the winnings. Stereotyping can aggravate these problems and prevent people from realising that there is another way to interpret a situation, or that other groups may define their rights in a different way. Hence, what may appear just or fair to one group can often seem unjust to an opposing group.

Assumptions

People may misinterpret each other's motives. For example, one group may assume that they are simply exchanging information about what they believe, but the other believes that they are negotiating a change in behavior. This is most likely to arise when the parties are not completely honest with each other from the outset. Individuals may wish to protect their privacy, corporations may be concerned about industrial espionage, and politicians may be bound by requirements of secrecy in the national interest. Nevertheless, clarifying the purpose of the interaction is essential to eliminating confusion, particularly if vested interests are involved.

The situation

If time is not a factor and those interacting approach their meetings with good will and patience, effective communication is more likely. But, if the parties are under pressure (whether generated by external circumstances or internal needs), emotions may colour the exchange. Prejudice is a short-cut decision-making tool. In a crisis, fear and anger may trigger more aggressive tactics, particularly if the meeting is being staged under the gaze of the news media.

Improving Intercultural Communication

It is essential that people research the cultures and communication conventions of those whom they propose to meet. This will mininise the risk of making the elementary mistakes. It is also prudent to set a clear agenda so that everyone understands the nature and purpose of the interaction. When language skills are unequal, clarifying one’s meaning in four ways will improve communication:

  1. avoid using slang and idioms, choosing words that will convey only the most specific denotative meaning;
  2. listen carefully and, if in doubt, ask for confirmation of understanding (particularly important if local accents and pronunciation are a problem);
  3. recognise that accenting and intonation can cause meaning to vary significantly; and
  4. respect the local communication formalities and styles, and watch for any changes in body language.

If it is not possible to learn the other's language, it is expedient to show some respect by learning a few words. In all important exchanges, a translator can convey the message.

When writing, the choice of words represent the relationship between the reader and the writer so more thought and care should be invested in the text since it may well be thoroughly analysed by the recipient.

In order to improve our cross-cultural communication, we need to be more flexible in our communications. There's more to this, however. We also need to find a way to reduce the bias that clouds our appropriate intercultural interpretations and communications. This article focuses on developing a greater understanding of biases we tend to hold against outgroups to lay a foundation for improving our own intercultural communication.

Most people would agree that at some point in their lives, they've been on the receiving end of discrimination. (If you haven't, perhaps it's time you ventured beyond the protected gates of your immediate community, into communities of homogeneous other cultural identities and ethnicities.) However, most people would respond to the question of whether they're prejudiced with a resounding "No!" This observation carries two important points.

First, we usually experience anxiety when interacting with someone from another culture because our knowledge base about that culture is lacking. Perhaps our stereotypic information needs updating. This lack of knowledge can lead to misunderstanding and/or lack of competent communication. When we don't have enough information about those from another culture, our cultural or ethnic-racial identity separation and/or distinctiveness may be triggered. This leads to discriminatory treatment.

Second, when we don't have enough information about this unfamiliar culture, we may resort to stereotypes. Though often grounded in some seed of truth, generalizations about cultural groups are often inaccurate.

Tendencies of human perception

Culture shapes the way we see the world, creating for us a set of lenses through which we view the world we live in. Within those lenses, we hold cognitive (thought) and affective (mental) filters that help us evaluate the behaviors of strangers. These lenses allow us to see and interpret the world around us. However, they can also limit and distort our vision, making it difficult for us to accurately see what's before us.

The process of perception involves quickly selecting cues from our environment, organizing them into a coherent pattern and labeling that pattern, and interpreting that pattern. The interpretation is done to comply with our knowledge and expectation. These three steps are reduced to selective attention, selective organization, and selective interpretation. Our cultural conditioning profoundly influences each of these steps.

In selective attention, we quickly pick up cues from our environment to be interpreted. When that environment is unfamiliar, we tend to pay closer attention to salient cues that match our own, (e.g. same age group), cues distinctive from the group (e.g. different skin color), and cues that serve our expectations or goals for the interaction (e.g. handshake greeting ritual). In a world with too much input to process individually, people are drawn to a distinctive feature of another person, and make links with the setting. This can be the beginnings of racist-type treatment.

In the second step of perception, the selective organization and labeling, our culture and language give us guidance for organizing aspects of our environment that we consider relevant. Our socialization has taught us to categorize similar things together and label them with a symbol or name. The name you choose for your perceptual organization depends on your identities, values, attitudes, language labels and the context. We also tend to fill in missing information to make sense of a particular situation. If you see an older woman pushing a baby stroller, you may assume she is the child's grandmother. If we're making these guesses within our own cultural community, we may be more or less accurate. But when we fill in these blanks in unfamiliar cultures, we have a greater chance of being completely wrong.

After selective attention and selective organization and labeling, we come to selective interpretation. In this step, we attach meaning to our received data, which includes our expectations. Expectations are essentially what we anticipate and predict in the communication behaviors of others during an interaction, and they act as filters as we perceive others. We each have certain expectations of certain situations, and when someone violates those, we may become surprised and emotionally aroused, and also pay more attention to this person's odd behavior.

Taken together, these three perceptual filters provide major barriers to effective intercultural communication. When we assume that we perceive and interpret the behaviors of other cultural groups in an unbiased manner, we are leading to ineffective communication. Rather than being objective, we are actually highly subjective, selective and biased in our perceptions of others. However, becoming mindful of these tendencies can go a long way toward helping us "catch ourselves" more often and choose flexible communication instead.

Ethnocentrism and stereotypes

The idea that our ingroup members' views and standards are more important than those of any outgroup is ethnocentrism. Because we make judgments about outgroup members based on our own frame of reference, which is culturally constructed, outgroups will never really measure up. Examples of relevant standards are religion, definitions of respect for others, children's education, and politics.

A visual depiction would place us at the center of a circle, with all outgroups at the periphery. It is a defense mechanism that defines our own culture as superior to others and our own perceptions of life as reasonable and proper. Because of this view, others' standards are less reasonable or proper, so others should follow ours. It develops out of a sense of comfort in the familiar.

Ethnocentrism has been broken down into three states. These are denial of cultural difference, defense against cultural difference, and minimization of cultural difference. In denial of cultural difference, our ways are truly the only ones. In defense against cultural difference, our culture is the only good one, engendering sentiments of superiority and inferiority.

In acceptance of cultural difference, people experience their own culture as one of many diverse cultures and ways of living in this world. Acceptance of difference can be further subcategorized into adaptation of cultural difference, where you get used to things in a new culture and begin to understand them, and integration of cultural difference where you incorporate them yourself.

Stereotypes are overgeneralizations about a group's members based on our inflexible beliefs about the behaviors or characteristics of that group. Individual variations are not considered; rather, the generalizations of the group applies to all of its members unilaterally. They can attempt to convey both positive information ("Asians are good in math") or negative information ("Russians are rude").

We develop these stereotypes based on past observations, media images, or what others have said. We then develop categories for our expectations and attach meaning to people's behaviors based on those constructed categories.

The Stereotype Content Model indicates that we tend to form stereotypes along two dimensions: low-high warmth and low-high competence. Perceptions of warmth are grounded in whether our culture is in competition or cooperation with another. This can explain stereotypes about rich people being rude. Perceptions of competence relate to the level of status we perceive of the other culture. This can explain stereotypes of the elderly as being incompetent.

Stereotypes are largely constructed by media images. The media shape how we view dissimilar others, with whom we may have little contact in daily life. As a result, "character types" are constructed as stereotypes. For example, African American women are generally depicted as sex objects or asexual mammies. Latinos are often cast as sensual and spirited, criminals, or buffoons. Some are making strides to counter these influences, such as the widely popular Dora the Explorer children's series, that increases appreciation for Spanish language and Latino culture. It is important to be aware of the power of the media in shaping our thinking and attitudes, thus our behaviors.

We develop our attitudes based on our environments. Our role models, schools, peer groups, media, all are deeply influential in helping us define who our ingroup is and who is in the outgroup. Prejudice is the feelings and attitudes toward outgroup members, be they positive or negative. Interculturally, prejudice is basically antagonistic hostility toward a group or toward an individual due to her group membership. It's the result of biased judgments based on little evidence.

Several theories have been developed in attempts to better understand prejudice. Briefly, exploitation theory stems from a view that power is scarce and worth fighting over. The idea of the "glass ceiling", where minorities are limited in their opportunities for corporate growth, is an example of exploitation theory.

Scapegoating theory places the blame on a minority group rather than accepting personal responsibility.

The authoritarian personality approach says that certain individual characteristics lead to prejudice, such as rigid observance of conventional norms, total acceptance of authority, and high concern for those in power.

A structural approach points to the social climate that promotes a "pecking order" among group members. These explanations help us better understand prejudice by connecting it to matters of power, class, and social position.

Prejudice, a biased mindset, leads to discrimination, a verbal and nonverbal attitude and behavior. Racism is the direct effect of and practice of discrimination. Racism can be spoken or unspoken, and stems from three essential principles. These are feelings of superiority based on racial and/or biological differences; strong ingroup solidarity and accompanying rejection of any outgroup that differs from the ingroup's customs and beliefs; and a tenet that gives those in power special advantage. One factor that drives racist attitudes and behaviors is fear. This fear is grounded in worry that one's cultural or social habits are being threatened, making them want to either attack or run.

Racism can be practiced through racial profiling, which is where individuals of a certain race or races are generally subject to harsher police treatment than their white counterparts. It is also displayed by perpetuating stereotypes through images, which happens when those in socially dominant positions present themselves in a positive light while presenting others in a more negative light. Consistently portraying those of a particular race in helping or supportive roles rather than main roles demanding intellectual fortitude is an example of this. Hate crimes are crimes targeted toward a member of a specific group. They can include any social group, use any means, and occur in any place. Bullying and cyberbullying fall into this category.

Prejudice and discrimination reduction

It does not have to be a difficult chore to reduce our own prejudice or discrimination. There are some steps you can follow. First, start by being honest with yourself. Ask yourself questions about your socialization and what you've learned and gained from it. In this process, pay attention to any biases and ethnocentric perspectives, beliefs, and attitudes. Ask yourself what is causing you to think or act in this way. Second, pay attention to how you evaluate an outgroup member's behavior. Ask yourself whether you're overgeneralizing or being biased in any way. Third, don't forget that your perceptions will be distorted by negative images of outgroup members. Finally, don't let unfairness go by you without speaking out.

Improving our intercultural flexibility

This lesson has discussed our perceptions of others, ethnocentrism, stereotypes, prejudice, and racism. We can learn to reduce our stereotypes, prejudices and racism by becoming more mindful and aware of our thoughts. First, we can approach others who are different with a clean slate. Don't bring your sets of stereotypes with you. Remember that people are individuals, and there is far more of the iceberg beneath the surface than above it. Second, use your brain to think carefully about your own thoughts and the thoughts and behaviors of others. Be open to multiple perspectives. Also, you can continue to learn about those around you. Pay attention to your community and your world. Further, remember that none of us is perfect. Analyze your ethnocentric tendencies honestly and choose to be mindful in evaluating your own biases. Finally, pay attention to any inflexible stereotypes of outgroup members. It's important to realize that you can't not stereotype; just pay attention to your process of evaluating those in your ingroup and outgroups.
